Job Title: Administrative Assistant - Purchasing (Buying)

Department: Buying

Business Unit: Purchasing

Reports To: Director - Purchasing (Buying)

Supervisory Role: No

FLSA Status: Non-Exempt

Job Summary

The Purchasing Administrator will support a group of Buyers and Directors. The Administrator will be highly organized, extremely detail oriented, self-motivated, able to handle confidential information, as well as have a demonstrated ability to respond effectively to changing workloads and priorities in support of the team.

Essential Functions

  • Provide support to the Director and Managers in the Department to which they are assigned
  • Manage and administrate all buying processes including but not limited to: New Item Setup Forms, Contract Setup Forms, Listing Forms, and Monthly Category Overviews
  • Create and catalogue weekly and monthly department reports
  • Communicate on regular basis with corporate teams
  • Handle, respond to, and direct incoming correspondence, calls, and tasks in a timely manner
  • Prepare reports for management
  • Other duties as assigned

Required

Required Knowledge, Skills, Abilities  

  • Previous office management experience
  • Strong analytical skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to quickly learn organizational structure and the objectives of the team
  • Strong organizational and communication skills, team orientated philosophy, and problem-solving skills
  • Ability to prioritize and handle multiple assignments at any given time while maintaining commitment to deadlines
  • High levels of integrity and discretion
  • Ability to communicate effectively with a variety of constituent groups such as senior management, peers, and outside contacts
  • Energetic, self-motivated and highly professional demeanor
  • Proficiency with the Microsoft Office Suite (Excel, Word, PowerPoint)

 

Required Education, Certifications/ Licenses, Related Experience

  • 2+ years of administrative support experience 

 

Preferred Education, Certifications/ Licenses, Related Experience

  • Bachelor’s degree

 

Physical Job Requirements

  • This position requires the ability to remain in a stationary position (standing and/or seated) all of the time
  • The person in this position may need to move about the store(s), distribution center(s), warehouse(s), and/or corporate office(s) less than half the time
  • The person in this role must be able to position him/herself (ex: kneel, crawl, crouch down) to fulfill the essential functions of the role less than half the
  • The person in this position must be able to maneuver (lift, move, carry, slide, etc.) | 15 – 40 lbs.
  • This position operates machinery and/or equipment that requires the constant use of hands/fingers/wrists (typing.) more than half the time
  • This position requires the ability to spend all of the time viewing computer monitors
  • The person in this position must be able to identify and distinguish between colors all of the time
